How do you keep track of bills/EOBs/etc. to make sure everything "adds up"?

My partner and I are attempting to get a handle on all the paperwork that comes with medical bills – the EOBs, bills, referrals, who ordered tests/imaging, etc. My partner is trying to track it in a spreadsheet, but is stuck trying to balance something that’s usable and we’ll actually be willing to fill out, vs something that can actually track everything but has 50 columns and nobody wants to fill out.

We can’t be the only people that have trouble tracking all the paperwork and matching bills to the actual services and verifying that the billed amount corresponds to what the EOB states and we aren’t double-paying or missing anything. Is there any software out there that can help with this sort of thing? I’ve only been able to find software (most/all of it abandonware) that tracks health records and doesn’t seem to deal with billing. Consumer billing is covered under HIPAA, but I have not been able to find software that can deal with it, as a consumer. Lots if you’re a provider or biller though. The general consensus seems to be to push all the responsibility of tracking and reconciling on to the consumer, And then blaming them when things get missed with “it’s your responsibility to keep track of your bills, not our responsibility to make it easy or even possible for you to do that”, although they don’t usually say that last part out loud.

Any suggestions of either specific software, or general search terms that will turn up patient-facing software would be most appreciated.

Some background: my partner worked in medical billing for a few years. I developed software in the US healthcare space for providers, practices and insurance companies. It’s not like we don’t understand the complexity, although maybe having some expertise in the area is also leading us to overcomplicate things. And I also realize I probably need a database, not Excel, but I’m not really looking to develop a full-blown application just to track our medical bills. We also don’t have a complicated situation – no chronic conditions, major surgeries, etc. to track. I can only imagine what a nightmare it must be for people who do need to interact with the healthcare industry on a more regular basis.

Also, I picked “HIPAA Privacy” since it seemed like the closest match and I am forced to pick some flair, and my query is related to the “portability” portion of the name.
